The Volunteer Coordinator/Patron Experience Supervisor plays a dual role in supporting the success of the summer season at The Grove Theatre. This position combines volunteer management with patron services and supervision, offering an exciting opportunity for a mature, highly organized, and personable professional to join a rapidly growing outdoor theatre company.
Working closely with a small dedicated team, this role is ideal for someone who thrives in a collaborative environment and enjoys building relationships and memorable experiences from the ground up. The position allows you to spend your summer outdoors enjoying live entertainment under the stars while helping to shape the future of an expanding cultural destination.
Position Summary
The Volunteer Coordinator/Patron Experience Supervisor will build and maintain strong relationships with the local Kawartha Lakes community and engage directly with visitors and tourists in Fenelon Falls. Beginning in May, (together with the Patron Experience Manager) this role will be responsible for recruiting, coordinating, scheduling, and supporting volunteers and volunteer activities that are essential to The Grove Theatre operations throughout the summer season.
In addition, this position oversees patron experience by supervising box office staff and ensuring excellent customer service across all ticketing channels. The successful candidate will assist with ticket sales, exchanges, and refunds in-person (in the Box Office and at the venue), by phone, and via email, while serving as a friendly and knowledgeable point of contact for patrons.

Responsibilities
Volunteer Management
Recruit, onboard, train, and support seasonal volunteers
Create and manage volunteer schedules to meet operational needs
Serve as the primary point of contact for volunteers throughout the season
Foster a welcoming, inclusive, and positive volunteer culture
Communicate regularly with volunteers regarding schedules, expectations, and updates
Track volunteer participation as required
Actively participate in volunteer initiatives
Patron Experience Supervision
Process ticket sales, exchanges, and refunds accurately and professionally
Respond to patron inquiries via phone, email, and in person in a timely manner
Uphold theatre policies and procedures related to ticketing and patron services
Resolve customer service issues with professionalism and care
Ensure consistent, friendly, and informative patron interactions
Support Box Office and Front-of-House operations during performances, as needed
To be eligible, candidates MUST:
Be available to work the entire 17 week contract
Be legally entitled to work in Canada.
Be a Canadian citizen, permanent resident, or has been granted refugee status in Canada.
Qualifications & Skills
What we’re looking for:
Strong organizational and time-management skills
Excellent verbal and written communication abilities
Experience working with the public in a customer-facing role
Comfortable supervising staff and working with volunteers
Ability to remain calm and professional in a fast-paced environment
Proficiency with basic computer systems and new software (training provided)
Knowledge of Google Workspace, including Gmail, Sheets, Forms an asset
Flexible schedule with availability for evenings and weekends

Working at The Grove Theatre

During productions our days will be split between a variety of locations and spread between daytime, evening, weekday and weekends. It can be frenetic but together we will set ourselves up for a marathon and not a sprint. We aim to make space for people to be more than just their jobs. We want to share things we care about and we notice in our communities. We can’t be task oriented all the time and we think it’s important to include the time to reflect and connect.
The Grove is a new organization and as such, policies and procedures are still being developed. The Technical Director is a crucial position in the function of a theatre. Working with the Production Manager and Artistic Director we expect the Technical Director to oversee, advise and execute all aspects of the technical needs of the amphitheatre. A wide range of knowledge in audio, lights, projection and set construction is needed but most important is the ability to problem solve and find alternative solutions.
This position is demanding and can only be done in person on site. The Grove encourages locals to apply but is willing to work with all applicants to help arrange temporary housing options for the length of the contract.
Reports to: Production Manager in tandem with our Artistic Director
Responsibilities:
Oversee and execute all technical aspects of the theatre for the summer season, including but not limited to: One night music, comedy and performing arts programming, community events and 1 musical and 4 tribute concerts.
Be onsite for duration of all shows to support any technical needs including opening and closing the theatre
Efficiently lead a crew in a variety of load ins and strikes
Communicate with one night performers on their technical needs
Up hold the best practice of health and safety standards
Working with Production Manager, Designers and Director in the planning, research and development of the set, audio and lighting design needs within budget
Obtain technical equipment needed for each performance and Mainstage productions
Produces technical paperwork as necessary
Ensure all production elements are delivered on schedule and on budget; and reports to the Production Manager and Artistic Director as to the status of production budgets at weekly meetings.
Assists in obtaining crew in consultation with Production Manager
Consults with Production Manager on logistics as needed
Contribute to the ongoing conversation about capital maintenance and development of the amphitheatre, with a particular focus on equipment purchases, efficiencies and general better practices
Additional duties may be assigned as required through the growth of the organization.

This position offers an opportunity for a strong communicator to join a rapidly growing organization where you can spend your summer outdoors enjoying live entertainment under the stars. With a small but growing team, new staff will play an important role in laying the foundation for our expanding theatre.
The Production Assistant will work hand in hand with the Production Manager and Technical Director to create and produce amazing performances at The Grove Theatre. This role is a great opportunity for anyone looking to learn more about the production elements in the theatre and live entertainment sector. A willingness to be hands-on during rehearsals and performances, assist in areas that need help and eagerness to work as a team to ensure the productions run smoothly, is key.
The Grove will be producing 1 musical and 4 tribute concert shows in rep this season, sharing cast and company as well a number of one night variety shows. The Production Assistant will be working on all shows under the guidance of the Production Manager.

Reports to: Production Manager and Technical Director in tandem with our Artistic Director.
Responsibilities:
Assisting Production Manager in all areas of production.
Assisting Master Carpenters as needed with the setup of stage props and set pieces.
Assisting Technical Director with lighting and sound needs.
Assisting Costume Designer with costume maintenance and repairs if needed.
Assisting with general tasks within the theatre as seen fit.
Work with all production staff, designers, actors, and managers to produce an amazing show.
Maintaining a clean and safe working environment throughout the theatre and rehearsal spaces.
Ensure all rehearsal materials are available when needed.
Additional duties may be assigned as required through the growth of the organization.

Working at The Grove Theatre
The Grove Theatre’s Box Office and Office is in the heart of Fenelon Falls, at 2 Water Street. The amphitheatre is at 27 Veterans Way and is outdoors.
Though certain work can be done from home, this is an in person position, as well, we think it’s important to maintain a certain amount of hours a week in the office together as we find it more conducive to collaboration. When our activities ramp up, we also find it important for the whole team to be in person together for the work that we do.
