Administrative:

    Job Description

    The Administrative Assistant will ​​help with the organization and running of the daily administrative operations of the theatre company. The main role will be to assist the Executive Director and Co-Artistic Director(s) by assisting with tasks such as updating policies and procedures, minute taking, creating templates, and maintaining a clear filing system. Additionally, this role will support the Patron Experience Manager in Box Office duties including ticket sales, responding to patron inquiries, event planning and assistance at the amphitheatre as needed. Hours will be flexible in most instances unless required at the amphitheatre for an event.

    Computer programs which are used daily are: Zoom, Slack, AudienceView (virtual box office), Google Drive in an administrative capacity (for correspondence, record-keeping, debrief and report creation) including Google Forms and Slides, CANVA, Adobe Acrobat, formulas in Excel or Google sheets.

    Reports to: Artistic Director and Patron Experience Manager

    Responsibilities

    • Applicants must be knowledgeable and proficient with computers, database management, internet and the Google suite (Drive,Docs, Sheets, Slides, Calendar and Forms).

    • Using computers, generate reports, transcribe minutes from meetings, create presentations, and conduct research.

    • Providing real-time scheduling support by booking appointments and preventing conflicts.

    • Screening emails and routing them to the appropriate party.

    • Checking mail (post office) and distributing to the appropriate party.

    • Attend meetings as required, take and distribute minutes and action items.

    • Track grant requirements to ensure fulfillment of obligations and gathering information for final report submissions.

    • Maintain polite and professional communication via phone, e-mail, and mail.

    • Support the Box Office including ticket sales and responding to patron inquiries

    • Assist the Box Office with donor and/or sponsor stewardship as needed

    • Maintain Box Office cleanliness and readiness including cleaning, storefront windows, office supplies, and seasonal decorations.

    Job Overview

    As a vital member of The Grove Theatre’s small but growing team, the Events Assistant will be involved in supporting and executing The Grove Theatre’s productions and events. The Events Assistant will ensure that the amphitheatre grounds are tidy, and equipment (chairs, tables, etc) are set up prior to each production and event at the amphitheatre. The Events Assistant will also communicate with various departments to ensure successful operation of the amphitheatre, and assist with the execution of off-site and pre or post show events.

    Reports to: Patron Experience Manager

    Responsibilities:

    • Prepare the amphitheatre for events and ensure regular maintenance.

    • Assist with event set up, running, and tear down.

    • Maintain a clean and pleasant environment on site before and during events.

    • Assist with regular upkeep of the Fairgrounds property.

    • Additional duties may be assigned as required through the growth of the organization.

    • Experience with landscaping equipment (lawn mower, edge trimmer, sprinklers) is an asset.

    Job Overview

    The Volunteer Coordinator is responsible for a variety of tasks including recruiting, interviewing, supervising, and training volunteers. The Volunteer Coordinator will be responsible for ensuring the volunteers are thoroughly prepared and have any materials they need for ongoing tasks within The Grove Theatre as well as during performances and events at the amphitheatre. The Volunteer Coordinator will track the volunteers hours and also assist in the organization and promotion of events that are taking place at the theatre.

    Reports to: Patron Experience Manager

    Responsibilities:

    • Determine the number of volunteers needed for daily tasks as well as events.

    • Promote events in order to find individuals interested in volunteering.

    • Recruit, interview, and arrange training for volunteer ushers.

    • Support Box Office staff including telephone, online and in-person ticket sales at the box-office and amphitheatre.

    • Assist with community outreach programs.

    • Plan and execute volunteer appreciation events.

    Job Overview

    The Patron Experience Representative is responsible for administering ticket sales over the phone and in person. As one of the primary points of contact for our patrons, this position plays an essential role in establishing and developing the relationship between The Grove Theatre and its patrons. The representative facilitates the sale of tickets and concessions (as needed) while ensuring our theatre patrons have a memorable experience. Evening and weekend work is required.

    Reports to: Patron Experience Manager.

    Responsibilities

    • Assist with telephone, online and in-person ticket, subscriptions, and group package sales from The Grove Theatre box-office and amphitheatre on the Fenelon Fairgrounds.

    • Assist in handling patron requests for special needs.

    • Assist with donor and sponsor stewardship.

    • Ensure preparation of daily reports and daily sales reconciliations.

    • Maintain a clean and welcoming Box Office environment for patrons.

    • Greeting patrons and providing information.

    • Additional duties may be assigned as required through the growth of the organization.

    What we’re looking for:

    • Prior theatre or arts industry experience is an asset though not required.

    • Prior sales experience including POS systems considered an asset.

    • Experience in customer service.

    • Must be able to multi-task and be self-motivated.

    • Must be able to communicate clearly and politely with patrons.

    • Possesses excellent cash handling skills and knowledge of daily sales reporting.

    • Qualified candidate will be a mature, responsible, dependable individual.

    Job Overview

    As a vital member of The Grove Theatre’s small but growing team, the Social Media Coordinator will develop and curate engaging content for social media platforms and assist in the creation and editing of written, video, and photo content. The coordinator will attend events and produce live social media content. Maintaining a unified brand voice across different social media channels will be a priority.

    Reports to: Artistic Director

    Responsibilities:

    • Curate and produce postings on social media accounts’ under the direction of the Artistic Director and Barton Creative Co.

    • Attend evening performances and events.

    • Monitor relevant trending hashtags that you can apply to your daily updates so that The Grove can get more exposure through hot topics.

    • Generate engaging text, image, and video content to sustain the audiences’ curiosity and ignite a buzz around new performances and community events.

    • Engage in online conversations with patrons, including responding to queries or questions.

    • Suggest and research new ways to attract or engage customers, including promotions, contests, or other methods.

    • Research, pitch and communicate with relevant influencers to create a strong network.

    • Develop engagement with strategic community groups and businesses

    • Ensure adherence to established organizational brand guidelines and positioning across all public facing channels of communication.

    Job Description

    The Technical Director is a crucial position in the function of a theatre. Working with the Production Manager and Artistic Director we expect the Technical Director to oversee, advise and execute all aspects of the technical needs of the amphitheatre. A wide range of knowledge in audio, lights, projection and set construction is needed but most important is the ability to problem solve and find alternative solutions.

    This position is demanding and can only be done in person on site. The Grove encourages locals to apply but is willing to work with all applicants to help arrange temporary housing options for the length of the contract.

    Reports to: Production Manager in tandem with our Artistic Director

    Responsibilities:

    • Oversee and execute all technical aspects of the theatre for the summer season, including but not limited to: One night music, comedy and performing arts programming, community events and 1 musical and 4 tribute concerts.

    • Be onsite for duration of all shows to support any technical needs including opening and closing the theatre

    • Efficiently lead a crew in a variety of load ins and strikes

    • Communicate with one night performers on their technical needs

    • Up hold the best practice of health and safety standards

    • Working with Production Manager, Designers and Director in the planning, research and development of the set, audio and lighting design needs within budget

    • Obtain technical equipment needed for each performance and Mainstage productions

    • Produces technical paperwork as necessary

    • Ensure all production elements are delivered on schedule and on budget; and reports to the Production Manager and Artistic Director as to the status of production budgets at weekly meetings.

    • Assists in obtaining crew in consultation with Production Manager

    • Consults with Production Manager on logistics as needed

    • Contribute to the ongoing conversation about capital maintenance and development of the amphitheatre, with a particular focus on equipment purchases, efficiencies and general better practices

    Job Overview

With a small but growing team, new staff will play an important role in laying the foundation for our expanding theatre.

    The Production Assistant will work hand in hand with the Production Manager and Technical Director to create and produce amazing performances at The Grove Theatre. This role is a great opportunity for anyone looking to learn more about the production elements in the theatre and live entertainment sector. A willingness to be hands-on during rehearsals and performances, assist in areas that need help and eagerness to work as a team to ensure the productions run smoothly, is key.

    The Grove will be producing 1 musical and 4 tribute concert shows in rep this season, sharing cast and company as well a number of one night variety shows. The Production Assistant will be working on all shows under the guidance of the Production Manager.

    Responsibilities:

    • Assisting Production Manager in all areas of production.

    • Assisting Costume Designer with costume maintenance and repairs if needed.

    • Assisting with general tasks within the theatre as seen fit.

    • Work with all production staff, designers, actors, and managers to produce an amazing show.

    • Maintaining a clean and safe working environment throughout the theatre and rehearsal spaces.

    • Ensure all rehearsal materials are available when needed.

Working at The Grove Theatre

The Grove Theatre’s Box Office and Office is in the heart of Fenelon Falls, at  2 Water Street. The amphitheatre is at 27 Veterans Way and is outdoors.

Though certain work can be done from home, this is an in person position, as well, we think it’s important to maintain a certain amount of hours a week in the office together as we find it more conducive to collaboration. When our activities ramp up, we also find it important for the whole team to be in person together for the work that we do. 

During productions our days will be split between a variety of locations and spread between daytime, evening, weekday and weekends. It can be frenetic but together we will set ourselves up for a marathon and not a sprint. We aim to make space for people to be more than just their jobs. We want to share things we care about and we notice in our communities. We can’t be task oriented all the time and we think it’s important to include the time to reflect and connect.

The Grove is a new organization and as such, policies and procedures are still being developed. We celebrate diversity in arts and people, and are working to prioritize inclusive and accessible processes and experiences. We want to carefully consider all decisions that will build the root system of The Grove and we are approaching this with the understanding that these decisions take time and care.
